This privacy notice explains how Inpharmation Ltd. (“we”, “our”, “us”) processes personal data when you participate in our AI Moderator demonstration.
We are the data controller for this processing under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

  1. What this demo does

Our AI Moderator demonstration simulates a short, interactive interview using artificial intelligence.
You will be invited to select a topic and respond to several open-ended questions. The AI moderator generates the next question and replies based on your responses.

During the demo we may process:

We do not intentionally collect your name, contact details, or any sensitive data (e.g. health, political views). Please avoid including any personal information in your responses.

We have conducted a Legitimate Interests Assessment (LIA) confirming these interests are not overridden by your rights and freedoms.

  1. How your data are processed
  • Your responses are transmitted to OpenAI, LLC (United States) via API to generate the moderator’s next question or reply.
  • OpenAI processes these data solely to provide the API output and does not use them for model training or marketing (under OpenAI’s enterprise API terms).
  • We receive the AI’s generated output and display it to you in real time.
  • We may store anonymised or aggregated response data for internal analysis after the event.
  1. International data transfers

Because responses are processed by OpenAI’s API in the United States, this involves a restricted transfer under the UK GDPR.
We rely on Standard Contractual Clauses (SCCs) with the UK International Data Transfer Addendum to ensure adequate protection for personal data transferred outside the UK.

Live demo responses Retained in identifiable form only for the duration of the demo session; then pseudonymised on completion of the demo.
Aggregated / anonymised insights Retained indefinitely (no longer personal data)
Feedback forms (if provided) Retained for up to 12 months before being completely anonymised.

Under UK GDPR, you have the following rights regarding your personal data:

  • Access – to request a copy of your personal data.
  • Rectification – to correct inaccurate data.
  • Erasure – to request deletion where applicable.
  • Restriction – to limit processing in certain circumstances.
  • Objection – to object to processing based on legitimate interests.
  • Data portability – to request data in a structured format (where applicable).
